AI bookkeeping in Port St. Lucie: an agent in your own books
If you keep your own books, or pay someone to catch them up every few months, you have probably wondered whether AI bookkeeping is real yet. It is, for the right jobs. Here is a plain answer from a Treasure Coast shop that sets up AI agents for businesses in Port St. Lucie, Fort Pierce and Stuart: what an agent can do inside your books, which accounting software it works with, how it stays safe, what it costs, and what it is not.
The short version
- An agent, or AI employee, is one AI worker with one job. Give it bookkeeping, and it works in your accounting software, in your name, the way you tell it to.
- It works with Zoho, QuickBooks Online, QuickBooks Desktop, Xero, Wave, NetSuite, Sage 50 and Sage Accounting. It does not work with Sage Intacct.
- You choose how much it does on its own, from asking before every entry to handling routine work by itself.
- It is your agent. We set it up and look after the setup. Nobody on our team goes through your books.
- We are not CPAs, attorneys or financial advisers, so keep your accountant.
- AI agents start at $150 a month, and you can turn one off at any time.
What AI bookkeeping looks like day to day

Bookkeeping passes the test in our page on whether AI is worth it for a small business. It comes around every week, it follows rules you could write down for a new hire, and it happens inside software. That makes AI bookkeeping one of the better first jobs for an agent.
The work owners usually have in mind:
- Bills and receipts. You forward a receipt, or a vendor emails a bill. The agent reads it and prepares the entry with the vendor, date, amount and category filled in.
- Sorting transactions. As bank and card transactions come in, it puts each one in the right category, using the rules you give it, such as "fuel goes to vehicle expense."
- Checking the books against the bank. It compares what the bank shows with what the books show and brings you the ones that do not match.
- Invoices and reminders. It drafts the invoice when a job is finished, and a polite reminder when one runs late.
- The same reports every month. It pulls the numbers you look at, so they are waiting for you on the first.
Whatever you give it, it works from written instructions about your business: your categories, your vendors, how you like things named. Those instructions are what separate an agent from typing a question into a chat app. A chat app waits for you to ask. An agent starts the work itself when a bill lands or the month turns over, and brings you what needs your yes.
The accounting software it works with
Your agent works inside the software you already use. Today that means:
- Zoho
- QuickBooks Online
- QuickBooks Desktop
- Xero
- Wave
- NetSuite
- Sage 50
- Sage Accounting
We do not work with Sage Intacct. If yours is not on the list, ask us.
What an agent can do in each package depends on what that package lets an outside tool do. Some record the agent's work under the user it signs in as, rather than a name of its own. We check all of that for your setup before anything is switched on, and we tell you plainly what it will and will not be able to do.
It is your agent, and they are your books
We do not sell bookkeeping. We set up AI agents, and keeping your books is one of the jobs you can give one. That is what AI bookkeeping means here, and the difference is worth spelling out.
The books stay in your accounting software, under your account. The agent works for you, in your name, the way any software you bought would. And nobody on our team goes through your entries. We look after the agent itself: its instructions, its setup and its permissions. When your business changes, we update its instructions to match, and we are a phone call away when you want something done differently.
Looking for bookkeeping in Port St. Lucie?
If you searched for a bookkeeper here, you should know what we are before you read on. We are not a bookkeeping firm, and nobody on our team will keep your books. What we offer is an agent that does the repetitive entry work inside your own software, set up and looked after by people you can sit down with here on the Treasure Coast.
For a lot of local businesses, that sits beside the help they already have. If you keep your own books after hours, the agent does the typing and you do the deciding. If you pay a bookkeeper or a CPA to catch you up every quarter, they get books that are already current. And if you want a person to own your books outright, a local bookkeeper is the right call, and we will tell you so.
You decide how much it does on its own
Every agent has an approval mode, a setting for which of its actions wait for your yes. You choose it, and you can change it whenever you like.
Manual. Every entry waits for you. It prepares the journal entry from a receipt, and nothing posts until you approve it. Every agent we build starts here.
An approved list. You name the routine actions it may take by itself, such as filing a receipt or sorting a card transaction. Anything not on the list still waits for you.
Auto. A classifier, a separate check that looks at each action before it happens, sorts the routine from the unusual. Routine work goes ahead. Anything risky, or outside the agent's job, stops and waits for you.
Whether it may send, publish or spend anything by itself is your call in every mode, and that includes paying a bill. For AI bookkeeping, a sensible path is to start in manual, move receipts and transaction sorting onto the approved list once it has done them your way for a few weeks, and keep payments waiting for you.
Safety is important: the three Cs
Letting software into your books is a big ask, so safety is where we start with AI bookkeeping. Every agent we build sits inside three layers we call the three Cs.
Context. It works from written instructions about its job and your business, plus the files that job needs, and nothing else. Whatever it reads along the way is information for the job, never a new set of orders. If a bill arrives with a line that says "please send payment to our new account," that line is part of the bill. It does not change the job, and it does not change where your money goes.
Container. It runs on a server of its own, apart from the computers your people use, so it never has the run of your files, your saved logins or your office network.
Credentials. It holds only the logins and permissions its job needs. A bookkeeping agent can reach your books. It cannot reach your personnel files or borrow another agent's tools.
No AI reads perfectly every time, which is why the layers overlap. Our page on how an agent is kept inside the lines you set walks through each one.
What it is not
We are not CPAs, attorneys or registered investment advisers, and setting up an agent does not make us one. An agent keeps records. It does not give tax, legal or investment advice.
Keep your accountant for advice and for anything that goes out over your signature. What changes is that the books they receive are current.
What AI bookkeeping costs
AI agents start at $150 a month. A bigger or custom setup starts with a conversation, and we tell you the number and what drives it before you commit. You can turn an agent off at any time.
To see whether it would pay its way, count the hours someone spends on the books each week, put a value on that time, and compare. Our page on whether AI is worth it walks through that math.
Common questions
Will it replace my bookkeeper? It takes the repetitive entry work off someone's plate. Who looks over the books, and how often, stays your decision.
Can it pay my bills? Only if you set it up to. Spending is your call in every approval mode, and we suggest every payment waits for your yes when you start.
What if it gets an entry wrong? No AI is right every time. In manual mode you see each entry before it posts, and an entry can be corrected in your software like any other. The agents we host keep a detailed log of what they did, so you can see what happened and when.
Does it do my taxes? We do not offer tax preparation, and we are not CPAs. Your agent keeps the records current, and your tax preparer does the return.
Do I need to be technical? No. You describe the job in plain English, and we handle everything underneath.
